Policy & Procedure

1.0 

PURPOSE

1.1

To establish a timeline for approval of proposed continuing medical education activities.

2.0

POLICY

2.1

 

Preliminary paperwork for proposed one credit CME activities should be submitted to the CME committee for preliminary approval at least three months prior to the planned activity's date. Final approval for a proposed CME activity should be obtained at least one month prior to the planned activity's date.

2.2

 

Preliminary paperwork for proposed multiple credits CME activities must be submitted to the CME committee for preliminary approval at least six months prior to the planned activity's date. Final approval for a proposed CME activity must be obtained at least two months prior to the planned activity's date.

2.3

 

The CME Committee will approve credit for "Just in Time" CME activities based upon the individual merit of the proposed activity. JIT activities may be approved by CME Committee member quorum proxy through email, phone, fax, or other appropriate means of communication. A full accounting of the JIT accredited CME activity will be given at the next scheduled CME Committee meeting.

2.4

 

Approved CME activity paperwork must be submitted for evaluation at the next scheduled CME committee meeting following the activity.

3.0

PROCEDURE

3.1

 

A needs assessment (presumed, expressed, or demonstrated) will be reviewed by the CME committee prior to developing, planning, or approving a CME activity.

3.2

A Continuing Medical Education Activity Planning Worksheet  (attached)  will be provided to the proposed CME activity's subcommittee.

3.3

A CME committee representative will attend the proposed CME activity's  subcommittee meetings to assist with planning and assure adherence to TMF and TMA guidelines.

3.4

 

The worksheet for a proposed one credit CME activity will be submitted for preliminary review and approval by the CME committee at least three months prior to the planned activity's date. The worksheet for a proposed multiple credit CME activity will be submitted for preliminary review and approval by the CME committee at least six months prior to the planned activity's date.

3.4.1

The target audience and objectives for the activity will be identified and approved by the CME committee.

3.4.2

 

The educational design, speaker(s) and planning for the activity will be reviewed and approved by the CME committee.

3.4.3

 

The CME committee will provide feedback to the CME activity subcommittee. Feedback may be provided verbally in person, by phone, email, or written form.

3.4.4

       

An accelerated process/timeline may be permitted for Just in Time proposed CME activities.

3.5

 

Final approval for a planned CME activity must be obtained at least two CME meetings prior to the planned activity's date. Exceptions may be made for JIT CME activities.

3.6

 

The CME Committee representative serving on the CME activity's subcommittee is authorized by the CME committee to approve substitutions due to unforeseen circumstances.  The CME committee will review and evaluate any substitutions at the next CME committee meeting.

3.7 Final copies of the approved CME activity's promotional materials, agenda, faculty information, disclosures, and activity evaluations must be submitted to the CME committee by the next CME meeting following the CME activity.
